Building Simpler Systems for a Growing Property Business
An Elemental engagement. Discovery and digital modernisation are in progress.
The Challenge
The business grew. Its systems needed to catch up.
An Auckland residential property business was managing several developments while relying mainly on phone calls and Microsoft Outlook.
Project details, documents and conversations were spread across emails and individual records. As the workload grew, it became harder to keep a clear view of projects and outstanding tasks.
The business needed more structure without adding tools that would be difficult to use or maintain.
The Approach
Start with how the business works.
Elemental is reviewing day-to-day work and building a practical plan for digital improvements.
The engagement brings together four areas:
Understand the current process
Discovery looks at how projects, communications and documents are managed, where information gets lost and which improvements should come first.
Organise project information
The work is exploring clearer ways to store documents, track project activities and keep important information accessible.
Review suitable tools
Project tracking tools and Microsoft 365 options are being considered. Reminders and repeatable workflows are potential improvements, rather than completed features.
Build a clearer online presence
A new website is being developed to show the business and its projects. The work considers mobile use, search visibility and a clear way for people to make enquiries.
Work in Progress
A practical foundation for the next stage of growth.
Discovery, planning and website development are ongoing. The intended improvements are:
- Project information and documents kept in a clearer, shared structure.
- Better visibility across active developments and outstanding tasks.
- Repeatable processes and reminders for recurring work.
- Less manual administration where automation is suitable.
- A website that clearly presents the business and its projects.
These are intended improvements, not completed or measured outcomes. Tools and processes still need to be selected, put in place and reviewed in everyday use.
The Elemental Approach
Add structure without adding unnecessary work.
This engagement starts with the business owner’s needs and the way the business operates. The aim is to introduce manageable changes in a useful order, with systems that can develop as the business grows.
